Who is responsible for your data

Adventure Milestone Treks Pvt. Ltd., Z Street, Thamel, Kathmandu 44600, Nepal, registered in Nepal under Govt. Reg. No. 71824/067/068, is the controller of the personal data described here. Questions about any of it go to info@adventuremilestone.com, and a person rather than a form will answer.

What we collect

Only what a specific step needs, and only at the step that needs it. An enquiry asks for less than a booking; a booking asks for less than a permit application.

  • When you enquire or plan a trip: your name, email address, phone or WhatsApp number, the country you are travelling from, your dates, the size of your party and whatever you write in the message field.
  • When you book: the above, plus each traveller's full name as it appears on their passport, date of birth, nationality and passport number, next-of-kin contact, travel insurance policy number and emergency medical details.
  • When you pay: the deposit is taken through our bank's own payment gateway. Card numbers are entered on the bank's page, not ours — we never see them and never store them. We keep the amount, the date and the gateway's reference.
  • When you use the site: the request logs any web server keeps, and nothing else. There is no advertising network, no third-party tracker and no cross-site profile built here.

Why we need it

Passport details and dates of birth go on the permit and TIMS applications, which are made to the Nepal Tourism Board and the national park offices, and on the manifest for the domestic flights. Insurance and medical details are carried by the guiding team so that a rescue can be arranged from the trail rather than from Kathmandu. Next-of-kin details exist for exactly one purpose, and we hope never to use them.

Your email address is used to answer you, to send the itinerary and the confirmation, and to tell you about a change to your own departure. It is not used for a newsletter unless you ask for one, and you can stop that in one reply.

Who else sees it

The list is short, and every name on it is doing a job your trip needs done:

  • The Nepal Tourism Board, the Department of Immigration and the national park and conservation area offices, for permits and TIMS cards.
  • The domestic airlines flying you to Lukla, Pokhara or Jomsom, for the passenger manifest.
  • The lodges and hotels holding your rooms, who are given a name and a night, not a passport.
  • Our bank's payment gateway, for the deposit.
  • The rescue operators and the insurer named on your policy, if an evacuation is needed.

Who does not see it

We do not sell personal data, we do not rent mailing lists, and we do not pass your details to another operator so they can quote against us. Nothing in this policy allows any of that, and no commercial arrangement here depends on it.

How long we keep it

Enquiries that never became a booking are deleted after two years. Booking records are kept for seven years after the trip, because Nepali tax and company law requires it. Passport numbers, medical notes and next-of-kin details are deleted within ninety days of your return — they exist for the trip, not for the file.

What you can ask us to do

Write to info@adventuremilestone.com and you can ask for a copy of everything we hold about you, ask us to correct it, or ask us to delete it where no legal retention period still applies. We will answer within thirty days, and we will not ask you to justify the request.

If you booked from the United Kingdom or the European Union, the rights the UK GDPR and the GDPR give you apply to this data, and we handle a request under them the same way we handle any other.

Cookies

This site sets no advertising or analytics cookies. The only browser storage it uses remembers your own choices on a page — a form you had half filled in, a tab you had open — and never leaves your device.

Changes to this policy

This page carries the date its wording last changed, at the top. Where a change affects a booking already in progress, we write to the address on that booking rather than relying on you to re-read the page. It was last updated on 9 September 2026.
